Commission owed is computed live from each agent's sales using the current per-project rates set on the Settings tab — changing a rate there recalculates owed amounts for that project's past sales too, not just future ones.
👤 Staff commission (paid via Payroll, not here)
Sales attributed to a staff employee ("Sold by" on the Sales tab), computed at current commission rates, by the month the sale fell in. There's no payment button here — a staff employee's commission is combined into their salary and taxed under PAYE on the Payroll tab; this table is just so nothing gets missed before that period's payroll is run.

🏦 Withholding tax on agent commission (payable to KRA)
When you record a commission payment, tax is withheld at source at the rate set on the Settings tab and must be remitted to KRA within 5 working days of deduction — mark each one "Remitted" once you've paid it in on iTax so you can track what's still outstanding.

📄 P9 tax deduction card
Generates a printable annual P9 form for one employee — or all staff at once — from their finalized payroll months, for KRA tax returns.
Compliance
Figures to help you file with KRA — Income Tax, Withholding Tax and input VAT/eTIMS. Prepares the numbers for iTax; doesn't file anything itself
This page estimates figures from your own records to make filing easier — it does not submit anything to KRA. Always verify against your own documents (and with your tax advisor) before relying on these for an actual filing.
📄 Annual Tax Statement
One printable statement for a full year — estimated Income Tax, every statutory deduction withheld from salaries (PAYE, NSSF, SHIF, Housing Levy) via Payroll, and Withholding Tax on agent commissions with due dates and remittance status. Useful as a single document to work from when filing, or to hand to your tax advisor.
🧾 Income Tax (Corporate)
Revenue is total sales value in the period (same figure as Financial Reports); Expenses is total recorded expenses in the period. This is a reference estimate only — Kenya's actual taxable-income rules (allowable deductions, capital allowances, revenue recognition timing) can differ from this simple Revenue − Expenses calculation, so treat this as a starting point, not a final figure.

Instalment tax due dates (calendar-year basis)
KRA requires corporate tax paid in 4 instalments during the year, each 25% of the estimated annual tax, due by the 20th of the 4th, 6th, 9th and 12th month — shown here for the year selected above (assumes a January–December accounting year; confirm with KRA/your advisor if yours differs). Any balance is settled when the final return is filed, by the 4th month after year-end.

🧾 Input VAT / eTIMS
Felamin Estate isn't itself VAT-registered (land sales are VAT-exempt), but KRA's eTIMS rules require an eTIMS invoice/receipt from VAT-registered suppliers (e.g. fuel stations) for an expense to count as deductible for Income Tax. This tracks the VAT those suppliers charged you, and flags expenses recorded without an eTIMS invoice number so you can chase the supplier before filing.

🏢 Company details
📈 Interest rate configuration
Set the interest rate applied to each installment payment plan duration. These rates are used across new client registrations, sales, and payment calculators.
Cash purchases are always 0% interest and are not configurable here.
🤝 Sales agent commission per plot
Set the commission paid to the assigned sales agent for each plot sold, per project. Set manually for each project — there is no single default rate across projects.
Loading projects…
This is a fixed amount per plot sold in that project, applied to whichever agent the sale is attributed to on the Sales tab. New projects you add will appear here automatically.
⚠️ Late payment penalties
Set a default penalty for clients who fail to honor their monthly installment — this is a starting suggestion, not a fixed rule. Applying a penalty to any specific client is always a manual, optional action taken by the Super Admin on the Installment Schedules tab, where the amount can be adjusted per case. It is never charged automatically, so a client who has otherwise been cooperative can simply be left alone.
🔒 Penalties are disabled — the "Apply penalty" action will not appear on the Installment Schedules tab until this is enabled and saved.
🔔 Automated payment reminders
When enabled, an email is sent automatically to a client 3 days before their next installment is due, again on the due date itself, and then every 7 days for as long as it remains unpaid. Clients with no email address on file are simply skipped — nothing else changes for them. This runs on a daily schedule on the server and is separate from the manual "📧 Email" button on the Installment Schedules tab.
🌴 Leave — annual entitlement
Days of Annual leave each active employee is entitled to per calendar year, used on the Leave page to calculate remaining balances. Kenya's Employment Act sets a statutory minimum of 21 working days/year — raise this if the company offers more.

Payroll & Tax Settings
Statutory rates used across Payroll, Compliance, and Commissions — kept here so the Accountant can correct them without needing a developer
💼 Payroll — statutory rates (Kenya)
These are the current published KRA/NSSF/SHIF/Housing Levy rates used to calculate PAYE, payslips, and P9 forms on the Payroll tab. They're editable here so you (or your accountant) can correct them if KRA revises the rates, without needing a developer. Always double-check against the KRA iTax portal before relying on these for filing.
PAYE bands — progressive, applied in order to taxable pay (gross minus NSSF, SHIF and Housing Levy employee deductions):
🏦 Withholding tax on agent commission
KRA requires tax to be withheld at source on commission paid to sales agents (they're not employees, so this isn't PAYE). There's no dedicated "sales commission" rate in KRA's schedule — it's usually treated as an agency/professional fee (5%) or a contractual fee (3%) depending on how your accountant classifies it. Confirm the correct rate and classification with your accountant or KRA before relying on this. Set to 0% to disable automatic withholding.
Applies automatically when you record a commission payment to an agent on the Commissions tab — the amount you enter there is treated as the gross commission, tax is withheld at this rate, and the net amount is what's recorded as paid to the agent. Withheld amounts appear on the Commissions tab for tracking and must be remitted to KRA within 5 working days of deduction.
🧾 Income Tax — corporate rate
Used only by the Compliance tab to estimate corporate Income Tax (Revenue − Expenses × this rate) — a reference figure to double-check against your own filing, not a substitute for one. Kenya's standard resident-company rate is 30%; change this if that rate is ever revised or a special rate applies to this business.

💼 Run payroll
ℹ️Computes PAYE, NSSF, SHIF and Housing Levy for every active employee with a salary set. Any sales attributed to an employee this period ("Sold by" on the Sales tab) have their commission captured automatically — no need to add it by hand. Running it again for the same month while still in Draft recalculates from scratch (any commission already saved for this run — including a manual override — is kept exactly as-is; only an employee with no saved figure yet gets it freshly captured from their sales). Nothing is finalized or posted to Expenses until you click "Finalize". You can still click a commission amount in the run's detail view to adjust it for any employee.
